Database Information Collection and Maintenance Policy
Criteria for creating and maintaining a record in the Community Resource Centre (Killaloe) Database
The Community Resource Centre (Killaloe) will create and maintain the maximum number of records that it can reasonably be expected to maintain annually.
The records will fairly represent a cross section of the services / programmes / agencies / organizations of the community and government human services available in Renfrew County which represent sufficient interest to a significant segment of the community or information that is pertinent and difficult to access under other circumstances.
These records will be kept in electronic files that are based on the current InformOntario data base standards, compulsory fields and styles.
The Community Resource Centre (Killaloe) will strive to reduce duplication of record information collection and maintenance but the database must remain as comprehensive as possible in order for the Community Resource Centre (Killaloe) and leasing partners to have access to updated comprehensive information and in order to provide a comprehensive Information and Referral (I&R) service.
The information the Community Resource Centre (Killaloe) collects and maintains should not be so date and time sensitive that it requires daily / weekly / monthly changes but will refer to the programmes themselves and let the I&R caller determine specifics (such as date, time, place) of programmes / services with the service delivery agency / organization.
The Community Resource Centre (Killaloe) will use alternate resources when available (Internet, other directories, etc.) to answer I&R clients, but will do so only when sure that the information is current.
The Community Resource Centre (Killaloe) will call for an update of each record once a year but will make any changes throughout the year that come to its attention and are from a reliable source. Records will be faxed or e-mailed to a specific contact at each organization and subsequently phone calls will be made (if required) to complete the information. In compliance with the new Privacy Legislation, all information pertaining to contact names and coordinates will be authorized for public distribution before being entered into the record.
In collecting information for the database, the Community Resource Centre (Killaloe) will remain non-judgmental and will not exclude legitimate services, programmes, agencies, organizations serving the needs of the population and directed to personal and social growth of the people. In cases of documented controversy, the Community Resource Centre (Killaloe) will provide the information in a non-judgmental fashion allowing the client to judge the organization or programme by his/her own standards.
The Community Resource Centre (Killaloe) reserves the right to exclude any programme / service / organization promoting hatred or discrimination.
Inclusion in the database does not imply endorsement by the Community Resource Centre (Killaloe) nor does exclusion imply lack of endorsement. The Community Resource Centre (Killaloe) will act in good faith and collect data that is within the collection policy and to the best of the CICís knowledge is true and legitimate.
